INTRODUCTION

Twin Birds is a fast-growing apparel brand, known for high-quality essentials manufactured at scale. As their user base and order volume increased, their internal processes—especially around order management, inventory tracking, and communication—became difficult to manage.

To support their rapid expansion, Twin Birds needed a digital system that could simplify day-to-day operations, reduce manual errors, and give their team a clearer overview of workflow activities across departments.

Goal

The goal was to streamline operational workflows by replacing scattered manual tasks with a centralized, easy-to-use platform. The system needed to help teams track orders, update statuses, monitor production progress, and collaborate more efficiently.

Twin Birds wanted tools that were intuitive for daily use, scalable as the brand grows, and capable of reducing dependency on spreadsheets and fragmented communication channels.

CHALLENGES

Operations at Twin Birds involved multiple teams—production, packaging, dispatch, quality check, warehouse, and customer support. The absence of a unified tracking system meant:

Frequent communication gaps between departments

  • Manual updates that were inconsistent or incomplete

  • Difficulty identifying bottlenecks or delays

  • Limited visibility into real-time order progress

  • No structured method to prioritize tasks or handle exceptions

These challenges led to slowdowns, avoidable errors, and increased operational pressure.

SUMMARY

The new operational platform transformed how Twin Birds manages orders—from receiving them to dispatch.

The solution introduced:

  • Clear dashboards for production and dispatch teams

  • Real-time status tracking for each order

  • Automated updates to reduce manual work

  • Streamlined collaboration across departments

This shift helped Twin Birds move from reactive coordination to proactive management, improving efficiency and consistency at every stage.

DESIGN APPROACH

Understanding Daily Operational Pain Points

Through close observation of internal workflows, we mapped how orders flowed from one team to another. This helped us identify where information was getting lost or delayed.

Creating a Single Source of Truth

We designed a unified interface where teams could:

  • View all orders assigned to them

  • Update progress with one click

  • Flag issues or delays

  • Share information across teams effortlessly

This minimized communication overhead and improved clarity.

DESIGN PROCESS

Each module—Production, QC, Packaging, Dispatch—was designed around the tasks the team performs most often.

Role-Based Dashboards

Different roles see different information:

  • Production team sees manufacturing progress

  • QC team views inspection tasks and reports

  • Packaging team handles order readiness

  • Dispatch team tracks shipments and delivery statuses

Iterative Testing

We ran multiple usability sessions with Twin Birds’ staff to simplify workflows, reduce steps, and ensure features reflected their daily needs.

User Journey

1. Onboarding

Teams get access to dashboards relevant to their responsibilities. They receive a simple walkthrough to understand how to log updates, track tasks, and view progress.

2. Order Lifecycle

  • Order Entry: New order enters the system

  • Production: Team updates manufacturing progress

  • Quality Check: QC logs inspection results

  • Packaging: Order is prepared for shipping

  • Dispatch: Shipment is tracked until delivery

Every step is timestamped and visible to all relevant teams.

3. Notifications & Alerts

  • Delays are flagged automatically

  • Pending tasks are highlighted

  • Teams receive reminders for deadlines

This ensures nothing gets missed.

4. Additional Features

Performance Insights: Aggregated data helps managers identify slowdowns, high-volume days, and production bottlenecks.

Error Reduction: Since updates are logged digitally, manual mistakes are significantly reduced.

Cross-Team Transparency: Everyone can see the status of every order, improving collaboration and reducing back-and-forth communication.

CONCLUSION

This project helped Twin Birds modernize its operations by replacing fragmented workflows with a unified platform.

The result is a more efficient, transparent, and scalable operational system that supports the brand’s continued growth. By simplifying processes and empowering teams with the right tools, Twin Birds can now deliver faster, more reliably, and with greater confidence.
